Enhancements 

Sensitive tags within Workflow email content

It is possible for users to include sensitive tags within Workflow steps. When this has been done, this information is included in plain, unencrypted emails.

We have introduced a new popup which will display when adding or updating a workflow step, where a sensitive tag has been included in the subject line or body of the email.

This has been introduced to provide guidance around the use of sensitive data which is being sent outside of the system.


Sensitive tags included in this check are:

  • [employee_ni]
  • [employee_dob]
  • [employee_bank]


Enhanced Workflow Warnings

We have introduced enhancements to the Workflow Warnings page to provide greater visibility and guidance.

Previously a 'warning' icon would be presented next to workflows where an issue had occurred.

Instead, we will now differentiate between Errors and Warnings through the use of different icons.


 These icons will appear in the status column and, when selected, will direct the user to the Workflow Warnings page, where they can see a breakdown of Warnings and Errors which require their attention.

Fixes

Workflows : Form check steps do not action. Issue resolved where, a 'Form Check' step in a Workflow would not progress even when an Employee had a completed Form Submission for the selected Form. This fix ensures that Workflows can properly validate Form completion and proceed as expected, streamlining onboarding and other HR processes.

Workflows : Tool Tip for duration in Time off duration and instances Workflow is incorrect. Issue resolved where, the tooltip for the Duration Setting was incorrect. Previously, the Tooltip stated that leaving the lower or upper values blank would default to 0 or infinite. Since these fields are mandatory, a value must be entered. This update ensures clarity and prevents confusion for HR and Admin users.

Workflow : Check Details steps in Workflows are not being marked as completed. Issue resolved where, Check Details steps in Workflows, such as verifying bank and emergency contact details, were not being marked as completed even when the required Employee information was added. The Workflow will now correctly progress when relevant details are present.

Workflows : Completing a Survey Form in a workflow does not update the Workflow Progress. Issue resolved where, survey forms completed via the email link within a Workflow did not update the Workflow response status. The response status will now correctly reflect completion, ensuring accurate tracking of Workflow progress.

Workflows : ‘&’ HTML Entity displayed in Workflow response step titles. Issue resolved where, ampersands (&) in Workflow step titles were incorrectly displayed with additional 'amp' text in Workflow responses and To-Do notices. Ampersands now render correctly without extra characters.

Workflows : Expense Workflow tags do not populate in some Workflows. Issue resolved where, expense Workflow tags ‘expense_name’, ‘expense_total’, ‘expense_date’, and ‘Request_Status’ previously did not pull data in the Send Email to Specified Recipient step when Record Expense Payments was enabled in Expense Settings. This issue has been resolved.

Workflows : Having ‘Notify Only’ steps after an approval step caused those steps to trigger incorrectly.  Issue resolved where, notify steps were triggered even when they followed an Approval step that resulted in a 'No' decision, ending the Workflow and triggering a new one. Now, the workflow correctly ends, and Notify-only steps are not triggered if the approval is rejected.

Forms : Rotate download setting not working when set to Yes. Issue resolved where, the CSV download of form data did not reflect the selected value in the Rotate Download setting (Yes/No). Now, when downloading form data via Admin > HR > Form Builder > Action > Download Form Data, the CSV file correctly displays the data according to the chosen Rotate Download setting.

Forms : Draw manually for signature fields doesn't show in Canadian (French) language. Issue resolved where, the Draw Manually option for signature fields was missing in forms when the language setting was set to Canadian French. Users can now access this feature in Canadian French without. This ensures consistent functionality for signature fields across all supported languages.

Reporting : Converted Expense currencies appear as original currency in Reporting. Issue resolved where, Expense reports displayed the converted expense value but retained the original currency, causing inconsistencies in reporting. The report now correctly aligns the currency with the converted value for accurate financial tracking.

Reporting : Balances continue to accrue after an Employees leave date and show in reporting. Issue resolved where, Time Off Allowances continued to accrue after an Employee's leave date, leading to incorrect balances in reports. The system now correctly stops accrual on the day after the Employee's leave date to ensure accurate Time Off reporting.

Reporting : Manager/Finance user unable to see own expenses in expense report. Issue resolved where, Manager/Finance users were unable to see their own Expenses in reports. The system now correctly includes their Expense submissions when generating reports.

Performance : Goals can cause an Error preventing login in specific circumstances. Issue resolved where, if the Lower and Upper values for a Target Goal were set to the same value, and that Goal was displayed on the user’s homepage, the user would be unable to login to the system.

Mileage : Mileage pay is incorrect when multiple mileage claim lines exceed the initial rate limit. Issue resolved where, Mileage Claims exceeding the initial rate distance limit continued to be calculated at the first rate instead of applying the secondary rate. The system now correctly applies the appropriate rate based on the Mileage thresholds.

Recruitment : Custom Application Form doesn't show what File Types are allowed for CV Upload Fields. Issue resolved where, Custom application forms did not display the accepted file types for Candidate uploads. Now, the CV and file upload fields in custom application forms will correctly show the allowed file types, consistent with the default application form behaviour.

Recruitment : Job portals not respecting branding settings for emails. Issue resolved where, Recruitment Workflow emails and requisition notifications did not respect company-specific branding settings when multiple job portals were used. Emails will now correctly display the branding template associated with the respective company.

Recruitment : Restricted HR user can see Candidates and Requisitions for roles in Sites they shouldn’t see. Issue resolved where, HR Users with site restrictions could still view requisitions and candidate details for sites they should not have access to. Now, requisitions for restricted sites are properly hidden from these users.

Recruitment : Unable to drag and drop candidates using a touchscreen. Issue resolved where, users on tablets/touchscreen devices were unable to drag and drop candidates between recruitment stages in the grid view. Touchscreen devices now function the same as mouse input, allowing candidates to be moved between stages seamlessly.

Time Off : Employees can overbook time off for 2025 via self service. Issue resolved where, employees were able to overbook time off for 2025 by adding an employee comment during self-service time off requests. Employees are now restricted from booking beyond their allowance for future years.

Time Off : Attachments Not Attached When Using Child Time Off Type with Specific Settings. Issue resolved where, attachments were not attaching to Time Off bookings when booking against a Child Time Off Type with specific settings. The issue caused attachments to either disappear or resulted in an error message when set to mandatory. Attachments are now visible and properly attached to the respective Time Off bookings.

Time Off: Manager level user cannot edit time off for employees they are set as approver for. Issue resolved where, managers set as approvers for employees were encountering a 404 error page when attempting to edit time off for those employees. Managers can now successfully edit time off for employees they are designated as approvers for.

Time Tracking : Time tracking records started & closed with QR clock in are not correctly sending to payroll. Issue resolved where, employees clocking in via QR codes were not prompted to select or enter a reference value (reference 0), causing payroll sync errors. The system will now prompt employees to pick or enter a reference 0 after scanning their QR code, ensuring seamless payroll integration.

Timesheets: Incorrect TOIL being generated. Issue resolved where, adding a second timesheet entry for an employee resulted in negative TOIL when the hours entered were lower than their current working hours. The system will now correctly update the TOIL record to reflect the total hours for the week, ensuring the employee receives the appropriate TOIL balance.

Announcements: Announcement emoji's do not display correctly in the system. Issue resolved where, emojis added in announcements displayed as question marks in the platform, although they were correctly shown in the announcement email. Emojis will now be displayed correctly in both the platform and the email, ensuring consistency.

Directory: Department and subdepartment don’t appear in the Directory Table View. Issue resolved where, the department and sub-department fields were blank for all employees in the directory when displayed in table view. These fields will now be populated correctly in table view, making it easier to identify the department and subdepartment of employees.

Employees: Salary change comment is showing against the wrong change on the view page. Issue resolved where, when using derived history settings, comments added to a salary change were incorrectly displayed against the previous change in the salary history view. Comments will now be properly linked to the correct salary change record in the employee's salary history.

Expenses : Wrong currency symbol being displayed on the Self Service Expenses page. Issues resolved where, on the Self Service page the symbol that shows next to the value is showing incorrectly. The symbol is now showing correctly on Self Service page next to the value.

Payroll : Error Encountered while updating Employee Fields via API for Payroll Sync. Issue resolved where, if the user was trying to update employee fields via the API & using works ID in order to sync to payroll, they were encountering an error.

Forms : Edit button not present on forms with multiple pages when opening via the Split screen. Issue resolved where, if a User opens a form via the Split Screen option, the edit option was unavailable if the form contains multiple pages.

Payroll : When making changes on pages without a change date an incorrect change date was applied. Issues resolved where, the System used an outdated Change Date for updates on pages without a ‘Change Date’ field, causing Payroll sync errors. The system now correctly applies today’s date for such changes.

Workflows : ‘Send email’ steps are actioning too soon after ‘Yes/No’ steps. Issue resolved where, the Send Email step was triggered before the preceding Yes/No step was completed. This caused emails to be sent prematurely, even when the Workflow should have ended. The system now ensures that email steps only execute after all prior steps have been properly actioned.

Time off : Incorrect Length of Service being calculated for Next Date + 1. Issue resolved where, the ‘Next Date +1’ Accrual setting incorrectly delayed Employee Allowances by a year. The system now correctly applies Length of Service (LOS) days on the expected accrual date, ensuring Employees receive the correct allowance.

Time-Off : Days field doesn't populate after adding End Date when adding Time- Off. Issues resolved where, the ‘Days’ field was not being populated when selecting the End Date while booking Time-Off. Now, the ‘Days’ field is correctly populated as soon as the end date is selected.

Time-Off : Time-Off types with accents and apostrophes don't show in reporting. Issue resolved where, Time-Off types with accents and apostrophes were not appearing in reports when booked through the Time & Attendance module. Now, such time-off types are correctly displayed in reporting.

Workflow : Duplicate Emails and Forms triggered by Workflow Steps with time based delays. Issue resolved where, certain Workflow steps, set to Trigger after a specific period (e.g. 1 day after ‘Leave date’ or 7 weeks before ‘Start date’), were sending duplicate emails and forms. The fix ensures they are sent only once as expected.

Workflows : Emails not sending for some Workflow Step Types. Issues resolved where, Emails for specific Workflow steps, including Send email to external, Send link to document, and Send link to report, were not being sent to the specified recipients. Affected Workflow steps will now correctly send emails as expected.
