Enhancements 

Option to apply History Changes Retrospectively for Mandatory Days

  • Following feedback from Customers, we have sought to resolve an issue with the application of Mandatory Days to Employee Time Off Allowances, when the Employee has History Records that indicate that their Working Days (or Working Hours) have changed through the year.

  • Previously, these History Records were not considered when calculating which Mandatory Days were available to the Employee through their Holiday Year.

  • This new functionality is optional and can be enabled by setting ‘Apply Salary History for Mandatory Days’ to ‘Yes’ in Timeoff Settings > Global
    • Administration > Company > Settings > Timeoff Settings (Global)


  • Once enabled, the system will check the Employee’s Salary History Records to determine which Mandatory Days will be applied to their allowance.

  • For example, if:
    • The current month is December and 
    • The Employee’s current Working Days are Monday-Friday, and 
    • The Employee’s Working Days for the first 6 months of the year were Monday-Thursday, then 
    • The Mandatory Holiday on Good Friday would not be deducted from their allowance, as 
    • Friday was not a Working Day for the Employee at that time.
  • Please note: This feature cannot be used for Employees with Custom Working Patterns (where the pattern is used to determine the working days for the whole year) or Employees whose Time Off Meter (Days/Hours) changed Mid Year.

Additional options for the Expiry of Length of Service Time Off Allowances 

  • Following feedback from customers, we have introduced additional options to determine the point at which accrued Length of Service allowances expire and are no longer available to be used in Time Off requests.

  • This new functionality is optional and can be enabled by navigating to Time Off Types and adding or editing a Time Off Type which is either ‘Accrued on Length of service’ or ‘Accrued on Length of service – alternate’ :
    • Administration > HR > Time Off Management > Time Off Types
  • Here you will find a new setting labelled ‘Length of service allowance expires’ with 3 options available.

The available options are:

  • System Default
    The allowance will expire at the end of the Employee’s holiday year.  This represents the system’s behaviour before this change and is the default.

  • Start Date Anniversary
    The allowance will expire on the Anniversary of the Employee’s start Date.

  • Specific Date
    The allowance will expire on the date (day/month) specified.


New API Endpoint to GET ALL Forms

  • Customers using the API to GET Form Data for a Form reported that they had difficulty determining the correct Form ID to use in the request.  This could previously only be obtained by visiting the Form in the UI.

  • To aid with this, we have added a Forms endpoint with a GET ALL route.

  • This will return the details of all Forms configured in the customer environment, including the Form ID, so that it can then be used in subsequent requests for Form Data using the Custom Form Data endpoint.

  • API keys for this and any other Endpoint can be managed by Administrator users by navigating to:
    • Administration > Company > Settings > API > API Settings

Fixes

Assets : The Asset signature declaration does not take into account any new lines when displaying for the user who is signing it. Issue resolved where, the Asset Signature Declaration displayed as a single block of text without preserving new lines when employees signed for an asset. The declaration will now display correctly with the intended formatting, improving readability for all users.

Announcements : Announcements that require acknowledgement show to users who have a Module Template where Announcements are not enabled. 
Issue resolved where, users with Module Templates that did not include the Announcements Module were still able to view announcements requiring acknowledgment. Announcements will now only be visible to users whose Module Templates include the Announcements Module, ensuring proper access control.

Planner : Adjusting the zoom level on the Planner results in missing weeks in the exported file. Issue resolved where, exporting the Planner was impacted by the zoom level, causing incomplete data to be exported. Planner exports will now consistently include all weeks of data regardless of the zoom level, ensuring accuracy and usability.

Reporting : ‘Time off period - by request’ data source date filter only looks at the 1st record and not the rest of the request. Issue resolved where, the ‘Time Off Period  By Request’ data source ‘Date’ filter was only considering the first record in Time Off Dates instead of the entire request. Users can now apply ‘Date’ filters correctly to capture all relevant Time-Off records within the specified date range.

Reporting : No field available for expense currency per line in Expense items report. Issue resolved where, users reporting on Expense items could only see the Claim’s currency and not the currency selected per Expense line. A new data field has been added to the dataset, allowing users to report on the currency selected for each Expense line.

UI : Calendar 'Team’ scroll menu doesn’t display all Employees. Issue resolved where, the ‘Team’ side menu in the Home screen Calendar did not allow Users to scroll beyond a certain number of Employees. The menu now expands properly, allowing Users to view and select all relevant Employees.

Time off : Carryover set to display in Summary displays in the following year’s Allowance. Issue resolved where, the carryover value was incorrectly included in the next year’s total Allowance past its expiration date when ‘Include carryover in summary type’ was set to ‘Yes’. Carryover values now expire as expected and are no longer added to the total Allowance beyond their validity period.

Time-Off : Unable to book Time-Off for Employees last day when booking for the next holiday year. Issue resolved where, Users were unable to book Time Off on an Employee’s Contract end date, even though it was their last working day. Time Off can now be successfully booked for the Contract end date as expected

Timesheets : Delta summing up incorrectly when using new Line function and the system incorrectly displays a negative delta.  Issue resolved where, the Timesheet delta calculation has been corrected to ensure that if the total Time for multiple entries equals the expected daily working hours, the delta does not show a negative value.

Employees : Last Working Day and Resignation Date not cleared when Restoring a Leaver / Archived Employee. Issue resolved where, restoring a Leaver using the Restore function did not clear the ‘Resignation Date’ and ‘Last Working Day’ fields, leading to inconsistencies. These fields are now cleared upon restoration to ensure accurate employee records.

Employees : Having both Salary and Job change history is causing the system to apply changes from incorrect dates. Issue resolved where, Job Change History incorrectly affected the application of Salary History changes for working days, leading to inaccurate Time Off durations. The system now correctly applies Working day changes based solely on Salary History to ensure accurate Time Off calculation.

Employees : Error message generated when trying to sync Head of Department  & Super Approvers for Sub-Departments.  Issue resolved where, updating the Head of Department or Super Approver for a Sub-Department failed to sync correctly, resulting in an error message. Now, the sync functionality works properly for both normal Departments and Sub-Departments when updating Leadership roles.

Employees : Employee Custom Fields are not able to be edited to have no User groups selected. Issue resolved where, after editing a Custom Field and removing all user groups, the Custom Field would retain previous User group settings upon submission. Now, when all user groups are removed, the custom field will no longer display any associated User groups.

Performance: Performance Review Forms cannot be individually Locked/Unlocked in the new UI, requiring use of Bulk Actions instead. Issue resolved where, after updating to the new UI, the ability to Lock and Unlock individual Performance Review Forms was lost. The functionality is now restored, allowing admins, HR users, and Managers to lock or unlock forms individually using the appropriate action in the Actions menu.

Mileage - When viewing/approving a Mileage Claim the Billable field shows as blank. Issue resolved where, the ‘Billable’ field in Mileage Expense Claims displayed as blank, preventing users from identifying if the Mileage was billable. The field will now correctly display the selected value (Yes or No) in both Employee and Manager views.

Calendar : Homepage Calendar when restricted displays Time Off with No Reason Shown. Issue resolved where, Time-Off entries with the setting "Yes - But no reason shown" were still displayed on the calendar after removing all filters. This allowed Users to potentially deduce the reason for leave. The issue has been resolved, and Time-Off entries are now correctly hidden when all filters are deselected, ensuring privacy as intended.

Upcoming Items : Privacy settings selected by an Employee are not respected in Upcoming Events. Issue resolved where, Upcoming Items didn't respect Employee Privacy Settings for Birthdays and Anniversaries. Now, only the selected event (birthday or anniversary) will be visible in the Upcoming Items section, according to the employee's privacy preferences. This fix ensures consistency between the Calendar and Upcoming items.

Upload : Bulk uploading Employees auto assigns the top most option for gender if left blank in CSV.  Issue resolved where, the ‘Gender’ field was defaulting to the first option in the list if left blank. ‘Gender’ will now default to "Not specified" if it is left blank during Bulk Upload.

Recruitment : Requisitions approved outside of workflows are updated with a Reference of "Pending". Issue resolved where, Requisition references were incorrectly displayed as "Pending" when the requisition was approved outside the designated approval workflow. The Requisition reference will now remain consistent throughout the Approval process, regardless of whether it is approved within or outside of the workflow.

Recruitment : Job overview box displays even if you have nothing ticked to show in list page settings. Issue resolved where, the Job overview box was still displayed on the Job Role page, even when no fields were selected in the list page settings. The Job overview box will no longer be visible when no fields are selected in the List Page settings.

Working Patterns : Incorrect breaks being applied to working patterns.  Issue resolved where, the incorrect number of hours were displayed for working pattern days with breaks, due to Time Tracking settings impacting break deductions. Breaks will now be correctly applied to working patterns, regardless of Time Tracking settings.

Workflows : Having certain step types before a trigger workflow step, causes the trigger step to fail. Issue resolved where, the trigger step in a Workflow was incorrectly allocated an Assignee when preceded by specific Workflow steps. This caused the step to fail and prevented the second workflow from triggering. The Trigger step will execute as expected, regardless of the preceding step types.

Reporting : Restricted Employee Custom Fields are visible to users outside restriction. Issues resolved where, Users outside a restricted user group could access and report on Employee custom fields, despite access limitations. Restricted fields will now be visible in Repot Builder only to authorized users.

Workflow : Workflow emails not translating system-generated text correctly and displaying mixed or incorrect languages. Issue resolved where, the Workflow emails were not adhering to User and Company localization settings. With this fix, the Workflow emails will now consistently reflect the intended language based on localization preferences.

Workflow : Duplicate Emails and Forms triggered by Workflow Steps with time-Based Delays. Issue resolved where, certain Workflow steps, set to Trigger after a specific period (e.g. 1 day after ‘Leave date’ or 7 weeks before ‘Start date’), were sending duplicate emails and forms. The fix ensures they are sent only once as expected.

Workflows : Departments with dashes cause workflows to trigger incorrectly. Issue resolved where, the Workflow restrictions based on Departments were not consistently applied when Department names contained special characters (e.g. dashes or ampersands). This caused Workflows to trigger incorrectly or inconsistently.

Social Module : Setting displays as disabled in the UI but remains enabled in the backend. Issue resolved where, the Social Module setting was appearing as disabled in the UI but was still enabled in the backend.
