New Features

Time Off - Carryover can be hidden from the Public calendar view

Within HRWize, the "Carryover" time off type is a special type used to record allowance carried forward from one holiday year to the next.

The Carryover type has a limited number of configurations available compared to other types of time off.

We have added a setting to the Time Off Settings (global) page which can be used to restrict the display of Carryover Time Off requests on the public calendar.

UI - Option to hide "My Team" and Calendar on the Homepage

The "My Team" and Calendar views on the homepage offer valuable insight to the status of your team and the wider business.

However, for some very large organizations and for some managers with a large number of reports, the amount of data displayed could result in the Homepage loading slowly.

We have added a setting to the Localisation page for all employees which allows them to choose the hide the "My Team" view, the Calendar, or both if desired.

Security - Option to enable Two-Factor Authentication or PIN login for Admin and HR users only

HRWize offers Two-Factor Authentication and the use of PINs as a secondary login credentials for increased security.

These features were previously enabled globally and applied to all types of users equally.

We have added options to the Security settings which allow these features to be enabled for HR and Admin users. If this is chosen, they are not enabled for other user types.

UI - Ability to change the Visibility Status of Employee Notes in Bulk

The Employee Notes feature allows free-form text notes to be stored on an employee record.

These notes can either be visible to the Employee's Manager, or only to Admin/HR users.

The visibility could previously be changed by editing each note in turn. Users can now use the Bulk Actions menu on the Employee Notes page to change the visibility of these items in Bulk.

Employees - Custom Fields added to the Employee Change page

The Employee Change page is used to record key information about the employee's role, for example, their Job Title, Manager, and Site.

Custom Employee Fields can be used to record additional information about the employee and can be accessed from the Edit page.

Employee Custom Fields set to appear on the "Quick Add" page will now also appear on the Employee Change page.

Time Off - Ability to assign multiple Length of Service types of Employees

Length of Service Time Off types can be used to automatically give employees additional time off allowances based on their Length of Service.

Previously, only one Length of Service type could be assigned to each employee.

We have added the ability for employees to earn their first Length of Service increment at 0 years, meaning, before they have completed their first full year of service.

Forms - Ability to Archive Performance and Other form submissions

Within HRWize, it is possible to create Performance Review forms and generic "Other" forms to record information which is then stored against the employee file.

These forms can be used multiple times, for example, the same Performance Review form can be used during each review period, and each time it is used, a new instance ("submission") of that form is created.

We have added the ability to Archive submissions of both Performance and Other forms using the Bulk actions menu.

For Performance Review forms linked to the 9 Box Grid, archived form data will also be removed from the 9 Box Grid, ensuring only the most relevant data is displayed.

Fixes

User Interface: Issue exporting table views containing long text fields. Issue resolved where exporting a table view with a long text field (such that the "View more" option is displayed on screen) resulted in errors in exported file.

Workflows: HTML Characters shown in text fields in Performance Review forms used in Workflows. Issue resolved where HTML line breaks were shown in text fields in Performance Review forms which were part of a Workflow process.

Employees: Changing an employee field to "None" and specifying a future date did not record a Pending Change. Issue resolved where if a change was made to a field on the Employee Change page, and the value chosen was "None", and the change was future-dated, no Pending Change was recorded and as a result, the change did not take place on the intended date.

Time Off: Users can no longer edit the Child Time Off Type of an existing request. Issue resolved where users would not be able to change the Time Off Type ("Reason") for an existing Time Off request in the Time and Attendance module.

Mileage: Return journey button not saving data. Issue resolved where, if a user used the Return Journey button in a Mileage claim to add an additional line for the return journey, the details of that return journey were not correctly stored.

Time Off: Long Term absences not correctly flagged in Reporting for some employees. Issue resolved where, for companies using the "Calendar Days" method to determine Long Term absences, such absences were not correctly flagged in Report Builder report for employees using an Hourly meter.

Employees: "Dummy" Date of Birth values displayed for Employees hired from Candidates. Issue resolved where, if a Candidate was Completed to become an Employee and no Date of Birth was entered, a "Dummy" date of birth was incorrectly shown on the Employee record.

Expenses: "Submitted date" not updated when a Draft Expense or Mileage claim is Submitted. Issue resolved where, if an Employee submitted an Expense or Mileage claim that was previously in a draft state, the "Submitted" date column showed the original creation date of the (draft) claim and not the submitted date.

Training: Employee names containing an Apostrophe character do not appear in the Recipient list. Issue resolved where Employees names containing an Apostrophe character did not appear in the Recipients list when adding a Training record for them via the Training icon on the Employee card.

Expenses: "Approver 2" comments not retained when approving Expenses using the Default expense approval process. Issue resolved where comments stored in the "Approver 2" comments field were not retained. This occurred only for customers using the system default expense approval process with two (2) approvers.

Reporting: Filters in Pivot Table reports not correctly applied when more than one filter is used. Issue resolved where, if more than one filter was used in a Pivot Table type report, the filters were not correctly applied to the result.

Time Off: Timesheets not accruing TOIL allowance when added by Admin, HR or Manager users. Issue resolved where, if a timesheet was added by an Admin, HR or Manager user in an environment, where an employee can accrue Time off in Lieu allowance using Timesheets, the accrued allowance was not added for the employee.

Recruitment: "Dummy" DOB displayed for Employees completed from Candidates. Issue resolved where, if a candidate was completed in an environment where DOB was not mandatory field, and that candidate's DOB was left blank, a "dummy" DOB was displayed for the resulting employee.

Forms: Bulk Uploading custom form data does not populate the Assigned Employee field. Issue resolved where if a user Bulk Uploaded Custom Form data and chose the "Employee Name" or "Works ID" as the Employee identifier, the Assigned Employee field was not correctly uploaded, and as a result the form was not associated with the Employee.

Time off: Time off booking rules incorrectly prevent Time off request from being made. Issue resolved where, in an environment where Time off booking rules were configured to alert a user when their Time Off Request did not meet the requirements, some users were incorrectly prevented from making Time Off requests when they should have been alerted instead.

Hot Fixes

Summary of fixes applied outside of the release cycle.

Reporting: Starting Balance (YTD) and Balance (YTD) fields now showing correctly for mid-year starters. Issue resolved where the values in the Starting Balance (YTD) and Balance (YTD) fields in Report Builder did not show the correct values for employees who started mid-year.

Timesheets: Timesheet totals displayed inconsistently for timesheets with an irregular break. Issue resolved where, if a timesheet was entered with a break that was not in multiple of 15 minutes, the total duration of that timesheet was displayed differently on different screens.

Announcements: Ampersands displayed incorrectly in announcements requiring acknowledgement. Issue resolved where ampersands (&) were displayed incorrectly in the acknowledgement "banner" displayed to users when an announcement was set to "Require acknowledgement".

Workflows: Send New Form steps in workflows produce duplicate forms. Issue resolved where, if a workflow contained multiple "Send new form" steps, each time one of those steps was triggered, multiple forms would be generated for the employee.

Forms: Data displayed in the wrong columns when downloading Application Form data as a CSV file. Issue resolved where data was displayed under the incorrect column headings when downloading completed Application Forms as a CSV file.

Workflows: Workflow email do not consider the user's Timezone. Issue resolved where users in a Timezone other than UTC would receive workflow emails intended to be sent overnight during the daytime.

Workflows: Continuous workflows based on a date stored in a Custom Field trigger whenever an edit is made. Issue resolved where Continuous Workflows set to trigger based on a date stored in a Custom Field would trigger when any change was made to the employee, and not just changes to that Custom Field.

Timesheets: Users unable to delete Timesheets from the Employee card. Issue resolved where users were unable to delete Timesheets when navigating to an Employee's timesheets using the icon on the Employee card.

Self-Service: Employees able to submit the Personal Details page without making any changes. Issue resolved where employees were able to submit the Personal Details page without making any changes. This in turn caused Personal Details change notifications to be sent when no changes had been made.

Reporting: Error generated when using specific filters in a report using the "People Analytics" data source. Issue resolved where an error was generated when a user attempted to run a report using the "People Analytics" data source, if the report contained a Filter on the "Week date" field, and that filter used a relative value (e.g., "Previous week", "This month", etc.)

Reporting: Report Labels displayed out of order in Charts where the Label Axis is a date. Issue resolved where if a Line Chart of Bar Chart was created where the label axis was a date and the dates contained in the report spanned multiple years, the dates were displayed in incorrect order on the label axis.

API: Approval fields not populated when running a GET query against the Employee Pending Changes endpoint. Issue resolved where the approved_by and approved_date fields were not correctly populated when running a GET query against the Employee Pending Changes API endpoint.

Forms: Where two (2) electronic signatures are manually drawn on the same Form, the first signature is lost. Issue resolved where, if a custom form contained two (2) electronic signature fields, and both of those electronic signature fields were completed by manually drawing a signature (as opposed to typing a name) then the first signature would be overwritten by the second and lost.

Workflows: Issue when a Self-Certification or Return to Work form is used to trigger a Workflow. Issue resolved where, if a Self Certification or Return to Work form was used to trigger a workflow, the Employee to whom the form referred was not correctly associated with the resulting workflow. This could in turn result in notifications from the workflow being sent to the wrong person.
