New features & Enhancements
Head of HR & HR Business Partner Fields
Additional fields have been added to provide greater flexibility when creating workflows
New tick box fields :
- Head of HR?
- HR Business Partner?
New dropdown list fields :
- Head of HR
- HR Business Partner
Only employees who have ‘Head of HR?’ / ‘HR BusinessPartner?’ ticked will appear within the respective dropdown lists.
All fields are available via the Job Details section of :
- Add / Quick Add for new starters
- Change on the employee card
Workflow :
Employees HR Business Partner & Employees Head of HR are now available to select
from the Recipients field / Escalation options action field.
Report Builder :
- All new fields have been added into report builder data sets
- You can find them within each of the same data sets which already include the Head of Department field
Bulk Upload :
These new fields have also been added to the existing bulk upload templates :
- Employees – HR Business Partner name & Head of HR name
- Employee history - HR Business Partner name & Head of HR name
- Update employees – Is HR Business Partner & Is Head of HR?
Internal Recruiter Field
- New field added to Recruitment > Requisitions to allow requisitions to be assigned to a specific recruiter
- When creating / editing a Requisition, there is now a new field available called Internal recruiter

The Internal recruiter field is an employee dropdown list
- Only HR / Admin & Recruiter users will be available to select from this list
- Only 1 employee can be selected

Workflow :
- Internal recruiter is now available to select from the Recipients field

Report Builder :
- Internal recruiter has been added into the Requisitions data set
We’ve also added new functionality to the Requisitions page to allow Recruiters to filter their Requisitions.
A new tab will now display within the requisitions section called My active. The My active tab will display all requisitions for which the user is the Internal recruiter.
My active will display by default, users can then switch to All active or Archived as required.
Where the user is not the Internal recruiter on any requisitions, the My active tab will be hidden and the All active tab will display instead.
Recruitment Mailbox
We have added a new field called Recruitment mailbox for use within Recruitment
workflows.
Recruitment mailbox can be found in the following locations :
- Administration > Company > Settings > Company Settings > Notifications
- Administration > Company > Settings > Recruitment > Settings
- Administration > HR > Data Management > Companies
- Administration > HR > Data Management > Sites
The Recruitment mailbox can be set at a global, company or site level (in the same way as other mailboxes).
The priority sequence when determining which mailbox setting to use is : 1. Company level → 2. Site Level → 3. Global Level
Workflow : Recruitment mailbox is now available to select from the both the Recipients field and the Escalation options action

Recruitment workflow recipients grouped
We have grouped together all Recruitment related recipient options within Workflow making it easier to see the options available and select the option required when creating Recruitment workflows.
The following recipient options will now appear together within
the recipient list :
- Hiring Manager
- Requestor
- Interviewer
- Recruitment Mailbox
Recruitment recipient options will only display what the workflow Type is Recruitment.
Interview Video Call Links
In order to improve the interview process, we have added a new field to Job Details > Work contact information called Video link. The Video link field can be used to add a personal video link (e.g. Zoom link) to an employees record.
The Video link can then be included on interview email templates using the new [interviewer_video_link] field.
When [interviewer_video_link] has been included on an email template, the field will be populated with the Video link from the Primary Interviewers employee record.
If the Video link on the employees record is blank, the field will display blank within the interview email.
Option to hide all candidates from Hiring Managers
The Hide candidates from managers functionality has been extended to include an
additional option allowing users greater flexibility to tailor the module to their business requirements.
The available options now include :
- Yes – agency only (existing functionality)

Yes – all candidates: It ensures that all candidates are hidden
from Hiring Managers until they have been released to them by a recruiter

No (existing functionality)
Agency only & No were already available and this functionality has not been changed
We have also added the ability to be able to re-hide candidates after they have been
released to Hiring Managers again adding greater flexibility.
This can be done by re-selecting the same ‘eye’ icon used to release the candidate.
HTML customization of the Job List page
We have added a new section within Recruitment > Options > List page settings called Custom HTML.nWithin here there are 2 new fields :
- Header HTML
- Footer HTML
These fields can be used to add custom HTML to the header & footer of the Job List page allowing customers to create a job list page which is more closely aligned to their company website.
Important - Custom HTML will not be supported by HRWize. It is the responsibility of the customer to ensure the HTML entered is correct and to troubleshoot any issues that occur as a result of HTML added into these new fields.
Sub department field added to Requisitions
Previously, when creating a Requisition within the Recruitment module, Sub departments would appear within the Department field.
In some cases this made it difficult to identify which of the available options were Departments and which were Sub departments so we have now added a new field to Requisitions specifically for Sub department.
The Sub department field will appear below the existing Department field.
Sub department will only display if the Department selected within the Department field has Sub departments associated to it.
Reporting : Ability to use "OR" when creating filters
Previously you could only use ‘And’ when adding multiple filters to reports. You now have the option to use ‘OR’ when filtering and you can now ‘Group Filters’ too.
Selecting ‘OR’ allows you to add more than 1 filter to your report and see employees
who meet any of the filter criteria you have added. E.g. Show me all employees who are a ‘Manager’ or a ‘Head of Department’.
Selecting Group Filters allows you to use a combination of different filter types in you
report giving you added flexibility. E.g. Show me all employees who are (Managers OR Heads of Department) AND are in Site A.
- Using Group Filters in this scenario would mean you report will show results for anyone who is either a Managers or Heads of Departments but only if they are in Site A.
New UI Enhancements
CV attached icon added to candidate grid view
We have added a new icon to the candidate grid view within the Recruitment module for CV attached.
When a CV has been attached by a candidate we will now display a small magnifying glass icon to the right of the Add note icon.
The magnifying glass icon is selectable.
When selected, the CV will be displayed in the same way it would if you accessed it from the candidate card.
Time off Model - Confirmation & Close
When have amended the behaviour of the Time off modal to create an improved user
Upon selecting Submit, if the request is successful :
- The page will scroll up so the confirmation message can be seen on screen
- The Submit button will be disabled and the Cancel button will become Close
- If no action is taken on the page within 5 seconds, the modal will automatically close
Upon selecting Submit, if the request is unsuccessful :
- The page will scroll up so the error message can be seen on screen
- The Submit & Cancel buttons will remain active allowing the user to make changes and attempt to resubmit
- The model will remain on screen and will not be automatically closed
The same behaviour will occur when an employee edits a Time off record via Self Service.
Fixes
New UI : Time off modal - Comments: Issue corrected which was resulting in comments not being displayed when viewing/editing time off records.
Report Builder – Sort by month/date: Issue resolved which was resulting in an incorrect sort order when reporting on months/dates. Months/dates will now display in chronological order.
Shutdown days do not respect duration of days in working pattern: Issue resolved, working pattern is now used when calculating the duration of a shutdown day.
Continuous/Trigger Date birthday workflows triggering daily when Date of Birth field is blank/invalid: Issue corrected which was resulting in workflows triggering daily where the Date of Birth field was blank or contained an invalid DOB.
Shutdown days do not respect duration of days in working pattern: Issue resolved, shutdown days duration will now be calculated based on the employee working pattern.
Expense claims behaving incorrectly when ‘Form clone add new item’ has been set to ‘Before’: Issue resolved which was resulting in the receipt attached icon displaying incorrectly when additional lines were added to an expense claim.
Social recognition emails not being sent to the employee being recognised: Issue resolved which was resulting in social recognition emails failing to send to the employee being recognised.
Social recognition emails containing incorrect citation when sent to Managers: Issue resolved which was resulting in manager emails containing incorrect citations.
