New feature & Enhancements

Documents : Optional email notification for new documents

You now have the option to notify employees via email when a new document is added to their record.

  • When creating the document you will see a new option called Notify employee by email’.
  • When ticked, a notification email will be sent to the employee to notify them that a new document has been added that requires their attention. The email wording will vary depending on if the document requires a signature or not (see screenshots).
  • The employee will be able to select the link in the email to be taken to the document (once they’ve logged in).
  • Once the document has been saved you will not be able to amend the Notify employee by email field. See next page for details on how to send a notification email for existing documents.

Note : This functionality will not be available if the document has been configured to use DocuSign

Documents : Optional email notification for existing documents

In addition to being able to send a notification email when creating your new document, we have also added the option to notify by email after the document has been created.

  • If you forget to tick the Notify employee by email’ box when creating the document or if you simply want to check the document before sending the email, you will be able to use the new Send notification email option which you’ll find in the Actions list.
  • Using Send notification email works in the same way as Notify employee by email. The employee will be sent an email with a link to their new document.

Documents: Option to restrict access to document categories by Job role

We have added a new option which will allow you to restrict document categories making them only visible to users with a Manager level job role.

This functionality allows you to create folders which can be used for documents which are more sensitive or do not need to be shared with employees removing the need to hold these documents outside of the system.

You can find the new ‘Restrict access to manager level role’ field within :

  • Documents > Company Documents > Add Category
  • Documents > Company Documents > Edit Category

New option to view employee Payments

We have added a new option to the available Actions within the Payments table which allows you to ‘View’ a payment in a read only display. Previously you would have to edit the payment to do this.

This option has been added to reduce the likelihood of accidental errors which could result from editing a payment when you only need to view it.

Workflow: Additional system fields available

You now have the option to use the following fields within your workflow tasks :

  • [employee_gender]
  • [requisition_hiring_manager_first_name]
  • [requisition_hiring_manager_surname_name]

These fields can be used in exactly the same way as the existing system fields.

Time off: Half day time off requests

We’ve added new functionality to make requesting time off for half days
much easier.

When creating a time off request which spans more than 1 day, you will
now be able to specify if the start date and end date are all day / AM or
PM :

  • Start date period : PM or All day
  • End date period : AM or All day

The Duration field will update based on your selection.

Half day bookings will be reflected on the Calendar & Planner.

Directory: First name and Surname filters

Following customer feedback, we have reintroduced the option to filter by First name and Surname when using the Directory.

For example, if the full name is not known, the first name filter can be used to see all employees with that name helping you to find the employee you are looking for.

You will now see options to filter by :

  • Full name
  • First name
  • Surname

New UI: Time off filter menu defaults to collapsed

Following customer feedback, we have updated the Time off filter option on the homepage Calendar to default to collapsed.

This has been done to reduce the amount of scrolling required to see the rest of the filter options when a large number of time off types exist.

You still have the option to expand the time off type menu and select or deselect the filter options of your choosing.

Forms: Assigning fields to a role or named user

The Field Access field within Form Builder has been updated to include additional options for Roles and People adding more flexibility to how forms can be used.

You can now choose from the 5 options which were previously available as well as Roles or People.

You can select more than one Employee if required but cannot select more than one Role.


Report Builder: Tile Comparators

We have added a new option within Report Builder called Comparison Tile

Comparison Tile works in the same way as the existing Tile option however it also allows you to add an additional section to your tile for a comparison filter so you are able to compare 2 values. E.g. Leavers this month vs last month.

You need to create your first filter in the usual way using the Select Filters section then create the filter for your comparison using the Select Comparison Filters section.

You will see the regular filter at the top of you tile with the comparison filter displaying below.

You can also specify Value Options for your comparison filter :

  • Value prefix / suffix : In my example I have used a suffix of ‘Last month’
  • Prefer higher / lower / same value
    • Prefer lower value : If the value has decreased the arrow displays green / if the value has increased the arrow displays red
    • Prefer higher value : If the value has increased the arrow displays green / if the value has decreased the arrow displays red
    • Prefer same value : If the 2 values are the same the arrow displays green / if the values differ, the arrow displays red
  • Show percentage change : Will display the % change between the 2 values


Fixes

New UI : Action menu displaying incorrectly for unsigned documentsIssue resolved which was resulting in a blank action mention displaying against documents requiring signature which have not yet been signed.

Some Workflow emails being generated with French textIssue resolved which was resulting in some workflow emails displaying French text incorrectly.
