You can add up to twenty custom fields to the employee file.
To do so, go to:
Administration > Company > Custom employee fields
In the first column, enter a name for the field you wish to add.
In the second column, it is a dropdown box allowing you to choose which type of data will be stored in the custom field. There are 5 options:
- Single-Line Text
- Multi-Line Text
- Date
- Yes/No
- Select dropdown
Alongside these fields, there are three checkboxes and a "Usergroups" picker. In addition, there is a text field for "Options list" that is only available for use with a "Select dropdown" field:
- Required - If selected, this field will be a Mandatory field when adding or editing an employee's file.
- Self-Service - If selected, this field will appear within self-service for an employee to complete. This field will appear under Self-service > My personal details > Additional Information.
- Quick add - If selected, the field will appear when using the quick add function to add new employees.
- User groups - Designates where user groups are able to view or edit this field. Valid options include HR, Manager and Facilities. Administrators can always view and edit these fields.
- Options list - This is used for the "Select dropdown" field that allows you to choose the values that will appear in the dropdown list. These should be entered as a comma-separated list, such as Apples,Oranges,Pears.
Please Note - You should be very cautious when changing or deleting employee custom fields as this can impact the integrity of the data stored if any.
The Employee custom fields can be displayed in the Directory. To do this, go to:
Administration > Company > Settings > Display settings > Directory > Directory Display (card)
And then choose the custom fields that you would like to be displayed in the Directory (in the example below, "Test1" and "Test2" are custom fields).
Please Note - A value has to be entered in the custom field in the Employee File for it to be displayed in the Directory.
The fields will also be visible on the Employee cards:
