Using Employee Custom Fields to Trigger Workflow Tasks

HRWize provides the ability to create Custom employee fields which can be added to employee records.

You can use your Custom employee fields to trigger a Continuous workflow when the status of the Employee custom field changes:

  1. Workflow category - Continuous, Approval or Task
  2. Employee custom field type - Date type field only, in this example 'Date passed test', which is custom field number 7 (see below). In this example, the Employee custom field (1) is accessible and can be updated via Self service (2) and/or by an HR or Manager level user (3)

Custom fields will appear under a new heading called ‘Custom Fields’ and available to select when configuring the ‘When should this happen?’ fields for each step in your workflow. the 'Date passed test' field can also be referenced in the workflow step 'Message subject', 'Message content' fields as ,[employee_custom_7]. 

 The Employee custom field can be updated by an Admin, HR or Manager level user by going to: People > Employees > [employee name] > Edit > Custom fields.

In this example, because the Employee custom field has been set to be accessible by Self service, an Employee can go to to update the field: Self service > My details > Additional information:

After clicking on 'Submit', the workflow step is ready to be triggered based on the 'When should this happen?' settings in the workflow step, in this example, 0 Day(s) After Date passed test:

After the workflow step has triggered, in this example the employee's manager will receive an email notifying them that the employee has passed their test on the date entered.
