Company and Employee Vehicles

HRWize provides the facility for an employee to add their own vehicle details via their self service, but also for details to be added by a manager or higher access level user to an employee record, perhaps to record a company vehicle for a new employee.

First, make sure the Vehicles module is enabled by going to 

Administration > Company > Settings > Display settings

 In the Module display section, locate the "Vehicles" option and ensure it is selected. Remember to click on 'Submit' if you make any changes.

For a manager or higher, to add a vehicle to an employee, go to:

People > Employees

Select the employee name and then in the Assets section, click on the 'Vehicles' action.

 Click on the 'Add' button to add a vehicle:

Complete as many fields as possible, ensuring the two mandatory fields "Vehicle make"and "Registration" is completed as a minimum. When you have entered all the details, click on 'Submit' to save your details.

After clicking on 'Submit', you can return to the "Vehicles" action in either the table or card view of the employee's record. Here you can click on the 'Edit' action to view and/or edit the vehicle perhaps to update Mileage, MOT date, and/or Last inspection date, or click on 'Add' to add a new record.

An employee can view their own vehicle details by going to:

Self service > My Details > My vehicles

As above, if the employee already has a vehicle assigned to them they will see it listed here under "My vehicles".

 If there is no vehicle listed and the employee wants to add a vehicle then they will click on the 'Add' button.

The employee will complete the form as far as possible but ensuring Vehicle make and Registration as a minimum are completed, clicking on 'Submit' to save the changes. The employee vehicle form does not have as many fields as the form which can be completed by a manager or higher access level user. This is because the form that the employee can complete is typically for them to register their own vehicle so the following fields are not required:

  • Transmission
  • CO2
  • Tracker
  • MOT date
  • Last inspection date
  • Lease company
  • Lease start
  • Lease end
  • P11D 

The employee can view their own vehicle details by going to:

Self service > My Details > My vehicles
