Backing up your data

Regular database backups are made to protect the whole service for all customers, this will ensure that all customer data can be restored quickly and efficiently if the need arises.

We cannot restore individual records or items if you accidentally delete something, as restoring one lost item would be both time consuming and costly. Therefore regardless of our backup regime, we STRONGLY recommend that all customers take periodic backups of their data and store them securely by going to:

Administration > Company > Backups

Here you will see the option to download various backup files:

Clicking the 'Download' link next to the desired table name will begin a download of the relevant data into a CSV file format (Spreadsheet) which you can save locally.

Below the table view, there are two buttons that can be used to take a backup of all tables, and all documents respectively.

This does not give you every piece of information contained in the system, but all the main things like employees, time off, training etc are included.

Lost data due to deletion or anonymisation can be re-entered manually or as part of a bulk upload.

If you want to use data from Natural HR in another system, you should be able to modify the CSV backups we provide into a format most other products will be able to work with.

In addition to downloading table data described above, you should also consider clicking on the 'Download all documents' which will download a ZIP file containing uploaded:

  • CVs
  • expense receipts
  • staff photos
  • images (jpg, png etc)
  • documents (docx, pptx, pdf etc)
  • template letters (rtf)

After clicking on the 'Download all documents' button there will be a short delay while the HRWize system prepares the ZIP file. You will first receive an email containing a link you can click on to download the ZIP file. The ZIP file will be automatically deleted after 1 day.
