Setting Up a Summary Type

A summary type can be used to roll-up several other time off types into one combined type. This enables employees to book time off for multiple time off types against one time off type, as all the specified time off balances will be combined into the summary.

Please Note - When using a Summary type, you lose the reporting granularity you get when using multiple individual Time off Types. For instance, if you roll up types such as Time off in Lie, Carryover, Study Leave, and Annual Leave into the summary type, you will not be able to identify which summary type bookings have been attributed to each type. This will impact your reporting and management of these individual types and should be considered before adding a time off type in your summary type.

To set up a summary type, you first need to create it as a new time off type in:

Administration > HR > Time off management > Time off types

The name of this summary type must be unique to the other time off types that you have set up in your system.

Select "Summary " as the Deduct from the employee allowance option:

The other settings (Time off in Lieu, Settings, Absence, Deduction, Display) should all follow the same settings as the Time off Types that you are rolling up into the summary type.

As you can see below, this employee has an allowance against the main Vacation type and has also accrued 5 length of service days. 

To roll-up these time off types into the new Summary type, click the 'Edit' action against the type(s) and then set the option "Display in Summary" to 'Yes'.

After setting this option, the employee's allowance wheel changes to reflect the single summary type that is now enabled. Please note that the allowance is the total of the holiday and length of service type and the remaining days amount comprises the remaining balance of both types after time off deductions.

Any future time off bookings will then have to be booked against the Summary type rather than the separated time off types.
