Head of HR and HR Business Partner Fields

Head of HR and HR Business Partner has been added to the System to provide greater flexibility when creating Workflows. To begin to use these fields firstly you will need to set them within your Environment, To do this please follow the below guide.


Assigning the Role of Head of HR or HR Business Partner

Open People > Employees and locate the Employee that is your Head of HR or HR Business Partner. For my example I will be using Aaliyah Hanley.

Once you have the Employee Card open under Core Details select the Change Option. This will open the Job Change page.

Scroll down the page and you will see the following check boxes.

To make the Employee Head of HR or a HR Business Partner, Check the checkboxes accordingly.

Now that you have created a Head of HR or a HR Business Partner you will be able to use these as options within Workflows or Assigning the Head of HR or HR Business Partner to specific other employees.


Assigning an Employee to Report into the Head of HR or a HR Business Partner

To make an Employee have the appropriate Head of HR or HR Business Partner follow the below steps:

Open People > Employees and locate the Employee that you would like to modify/update to have a specific Head of HR or HR Business Partner.

Once you have the Employee Card open under Core Details select the Change Option. This will open the Job Change page.

Scroll down until you see the dropdown boxes for the Fields, Head of HR and HR Business Partner.

Now click on the Dropdown and all of the available Heads of HR or HR Business Partners will be visible.

Select the Head or Business Partner that you would like to assign this Employee too and complete the Change.


Workflow Steps using Head of HR and HR Business Partners

When selecting the recipient of a Workflow Step you will be able to choose from a number of different Groups such as HR Mailbox, Finance and Employees. Now that the Head of HR or a Business Partner has been set you will now be able to select these individuals to receive specific steps to do this please follow the below:

Within HRWize, please go to Administration > HR > Workflows.

This can be either added to an existing workflow step by Editing the workflow or added to a new workflow. For this example I will be adding the step to my existing Workflow Appraisal, Review, Counselling by pressing Action > Change Workflow this will then open the Steps of this Workflow.

As you can see from the above image this Workflow currently goes to the Employees Manager, back to the Employee and then to the Employees Manager once more. We will change this go Manager, Employee and then to the HR Business Partner.

To make this change to the last step of the Workflow I will select Actions > Edit to modify the Workflow Step.

Once the Edit screen for the Workflow Step has opened, I Firstly need to amend the Name of the Step to be more relevant to send to a HR Business Partner. Now that this has been completed in the Recipient Field, I will remove the Employees Manager and select for the step to go to HR Business Partner like the below image.

Now that this has been completed when the Workflow is triggered and the form progressed to the last workflow step this will now be sent to Aaliyah Hanley as she has been set as the employees HR Business Partner.
