Bulk Upload Employees' Photos using .zip File Uploader

In HRWize, we offer a faster method of uploading employees’ photos without having to manually upload an employee’s photos in each employee’s file.

This method is done by using a bulk uploader found in:

Administration > HR > Data Management > Employee Document Uploaders > Bulk Uploader

Once in the Bulk Uploader page, you will be taken to the image below:

Here are some things to keep in mind when uploading employee’s photos:

  • Ignore the ‘Please select an employee folder’ field, by leaving as it is, as this is used for documents where you will have to select where you want the files to be deposited. For this reason, this doesn’t apply in this case, since we are uploading employees’ photos.
  • For the ‘Order’ field, these are naming conventions that need to be followed depending on the option you choose from. This will detect the system in which the photo goes with which employee.
    • Last name > First name (e.g.: Tucker Rita.zip)
    • First Name > Last name (e.g.: Rita Tucker.zip)
    • Works ID > Last name > First name (e.g.: 21 Tucker Rita.zip)
    • Works ID > First Name > Last Name (e.g.: 21 Rita Tucker.zip)
    • Works ID (e.g.: 21)
  • Select the separator in the employee’s photo file name. This is used if you are using ‘Last Name’ and ‘First Name’ in the ‘Order’ field.
    • Dash (e.g.: Rita-Tucker.zip)
    • Underscore (e.g.: Rita_Tucker.zip)
    • Space (e.g.: Rita Tucker.zip)
    • Comma (e.g.: Rita,Tucker.zip)
  • The system will ask you to “ignore” certain things. This is commonly used when you would like to ignore a common part of the file name.
    • The way it works is that the system matches the file’s name with the employee’s name using the settings picked in sections 2 and 3. For example, your file is named “Rita Tucker T4.pdf”. This type of name wouldn’t get approved for the upload sine the system cannot find an employee named Rita Tucker T4. In this case, the “ignored” field can be useful since you would enter the word “T4” in the box, and the system would ignore that part of the file names when uploading. If there’s nothing to ignore, leave it as blank.
  • As for the last 2 fields, “All documents visible to employee?” and “Are these files all photos?”, set them both to 'Yes'.

Now that you have the fields done, you can now upload your employee photos. If you scroll down your page, you will be able to see a big rectangular box. You can either drag your employee’s photo with the corresponding file name or simply click on “Add files” at the bottom left of the box. Once done, click on “Start Upload”, and wait until you see a green checkmark beside the files. See image below:

Once refreshed your page, this will automatically upload directly as the employee’s profile picture!
