Bulk Upload - Contractors

The below article is relating to the bulk upload - Contractors which can be found by navigating to Administration -> Company -> Bulk Upload.

The Contractors bulk upload is under the Employees section here:

Once you've selected the Contractors Bulk Upload you'll be directed to this page:

The page includes the following:

Create new records for missing data

If this box is ticked, when the upload is processing if the system finds a CATEGORY which does not already exist in the system it will create a new entry for it. Please note: it will be created EXACTLY as typed.

Suppress notifications for duplicate contractors

If this box is ticket, you will not be shown individual error messages for duplicate contractor records being found. This can be useful if you are refining and correcting errors in an existing CSV upload.

CSV file to upload

This is where you will load your CSV when it is ready to upload. Press browse and select the CSV file.

Download help file and instructions

This option will download our bulk upload help file. This includes instructions on how to use each bulk upload and lets you know which columns are mandatory and which are optional, it's important to look at the relevant help file before performing a bulk upload so you can get it right the first time.

The second option downloads an example template for you to use for the bulk upload with all the headers needed for the bulk upload to be successful.

 

Editing your CSV

When you download your sample CSV file it will look like this:

The CSV Fields include:

Title - Employee title (e.g. Mr, Mrs, Dr etc.). This field can contain letters and/or numbers. This field is Optional.

Employee surname - The employee's surname / last name. This field can contain letters and/or numbers. This field is Mandatory 

Employee first name - The employee's first name. This field can contain letters and/or numbers. This field is Mandatory.

Middle name - Employee middle name or names. This field can contain letters and/or numbers. This field is Optional.

DOB (dd/mm/yyyy) - Employee date of birth. The format will need to be dd/mm/yyyy regardless of localisation settings, if not specified it will default to 01/01/current year. This field is Mandatory.

National Insurance number - Also known as Social Security Number outside of the UK. Can be made up of letters and or numbers but MUST be unique within your company – please note this field is not validated other than for uniqueness If not specified will default to random 9-character string E.g. 012345678X. This field is Mandatory.

Pay period - Contract Pay Period. Valid options are per annum, per hour, per day, per week and per month If salary is specified and period is not specified will default to Per annum.

Location - The base-location for this contractor. This field can contain numbers and/or letters. This field is Optional.

Availability - The contractor's availability. The format will need to be dd/mm/yyyy regardless of your localisation settings. This field is Optional.

Category - The category for this contractor. This field can contain letters and/or numbers. This field is Optional.

Rating - Rating for this contractor. This field can contain letters and/or numbers. This field is Optional.

Comments - Any general comments against this contractor. This field can contain letters or numbers. This field is Optional.
