Setting Maximum Limits to Time Off Types

There can be occasions where a company will have a policy in place where an employee cannot book more than 10 days of holiday, for example, as one request.

To accommodate a policy such as this, a maximum limit can be applied to a time off type. To do this, go to:

Administration > HR > Time off Mmnagement > Time off types

Then, create a new time off type by clicking on 'Add'. or edit an existing time off type.

In the Details section, the "Maximum Limit" option can be set to the following options:

  • No - There is no limit on how many days can be booked against this time off type.
  • Yes – only HR can Override - A limit applies to this time off type; however, an HR user can override this if necessary.
  • Yes – HR and Managers can Override - A limit applies to this time off type. However, HR users and Managers can override this if necessary.

Maximum value (days): This is the maximum duration a single request of this type can be for employees whose allowance is in days. If this is left blank or set to 0, there is no limit applied.

Maximum value (hours): This is the maximum duration a single request of this type can be for employees whose allowance is in hours. If this is left blank or set to 0, there is no limit applied.

When a period of time off has been entered by an employee that exceeds the limit set in the respective time off type, they will be presented with the following message:

The limits apply to Employee self-service at all times. If a manager is requesting time off on behalf of an employee for a time off type that has a limit applied the manager would also only be able to book up to the limit quantity. The exception for this is if the Maximum limit setting is set to Managers and HR can override.
